[Webinar Recap] The End of Manual Data Entry: Inside SmartSheetingAI™

Based on Plansight's Webinar on July 15 with Adam Smith and Gavin Lunsford.

Executive Summary

Renewal season keeps getting harder, not easier, and the manual data entry buried inside every RFP is where marketing teams lose the most time. In this live webinar, Adam Smith, Plansight’s CMO, and Gavin Lunsford, Plansight's lead product designer, introduced SmartSheetingAI™: a standalone tool that reads carrier documents, extracts the data, and exports it straight into Excel in the exact format a brokerage already uses. Adam walked through why the manual entry problem has only gotten worse, and Gavin ran a full live demo of the product, from building custom templates to exporting a finished spreadsheet in seconds.

The Manual Entry Problem Isn't Going Away

No-shop renewals are becoming rare. When clients see the kind of increases brokers have faced over the last two renewal cycles, they want their book shopped, and that means more RFPs, more carrier documents, and more manual entry for every marketing team. "The no-shop renewals are fewer and fewer, and that means more work for our marketing teams."

It isn't only a time problem either. Manually keying in rates, deductibles, and plan details across dozens of carrier documents invites errors and omissions and takes hours away from the part of the job that actually retains clients: advising them. Brokers who are focused on moving beyond the status quo already know that the agencies winning right now are the ones who've found a way to get that time back.

Introducing SmartSheetingAI™

Plansight has spent several years building tools that streamline the RFP process, and its AI document reader, the piece that extracts and normalizes carrier data, has always lived inside the full platform. After repeated requests, Plansight pulled that piece out as its own standalone product: SmartSheetingAI™. Drag in a carrier document, the AI identifies which products are inside it, confirms what it found, and exports directly to Excel within seconds.

It's also SOC 2- and HIPAA-compliant, which matters more than it might seem at first glance. "This is purpose-built AI that you hopefully don't have people putting your documents into general AI models, but this is purpose-built AI that is SOC 2- and HIPAA-compliant and can accomplish this process really, really quickly and in a really thoughtful manner." For brokerages weighing whether a given AI tool is actually ready for production use, that distinction between general-purpose AI and purpose-built AI is the whole ballgame.

A Live Look at the Templates

Gavin opened the demo by acknowledging the frustration head-on: "There is a manual data entry problem. It's been a problem for a long time... we wanted to try to ease that frustration."

He built a medical template live, merging individual and family deductibles into a single row, renaming fields (turning "emergency room care" into a simple "ER"), archiving sections a brokerage doesn't typically present, and choosing exactly how in-network and out-of-network data should stack. Every one of those choices is saved to a template, so once it's built, every future export lands in the format a brokerage is already using in its presentations.

Extraction, QA, and Export in Seconds

From there, Gavin dropped in a real carrier document, and the AI automatically identified the product inside it, confirmed the plan details, and began reading the full document. One detail brokers will appreciate: hovering over any extracted field highlights exactly where it came from in the source document. "If you've ever looked at your Excel that you're filling out and then your PDF next to each other and just trying to match up where they're pulling from, it's a lot of work... the way that we pull this up is gonna save a lot of time."

Once the data is confirmed, a single click exports it to Excel in the exact template format, ready to be copied and pasted into a presentation. "Crazy simple, crazy fast." Multiple documents, even multiple products in a single file, can be uploaded and processed at the same time, then batch-exported together.

What's Coming Next

SmartSheetingAI™ currently supports medical, dental, vision, long-term disability, short-term disability, and accident coverage, with life, hospital, hospital indemnity, and critical illness coverage on the roadmap. As Plansight's broader platform continues to evolve, this kind of purpose-built automation is a good example of what happens when a company treats moving from data entry to strategy as the actual goal, not just a talking point.

Final Thought

The manual entry problem isn't a minor annoyance; it's hours of lost capacity, real E&O exposure, and time that should be going toward advising clients instead of retyping rate tables. SmartSheetingAI™ gives brokerages a fast, purpose-built way to close that gap without waiting on a full platform migration.
